1Information We Collect

We may collect the following types of information from users:

• Personal Information: Name, email address, phone number, current address, education level, gender, and employment preferences when you submit an application through our site.
• Resume Data: Your resume/CV documents uploaded in PDF or Word format, which we use to provide our career services.
• Payment Information: Billing details processed securely through Stripe for subscription payments. Card details are entered on Stripe's checkout page and handled by Stripe. If you buy a plan or credits, we keep your subscription, credit and purchase history, which you can see in your account.
• Profile and Career Data: Your professional title, work history, skills, and profile photo, and resumes and cover letters you create in the Resume Builder.
• Documents: Files you upload to your account, such as resumes and other documents (PDF, Word, JPG and PNG). Uploaded files are stored using Google Firebase Storage.
• Messages: Messages you send to your recruiter or career coach through Career Pilot.
• Usage Data: Information about your interactions with our website, such as IP address, browser type, operating system, and browsing patterns.
• Cookies and Tracking: We use cookies and similar tracking technologies to monitor activity on our website and retain certain information.

Career Pilot Mobile App

In addition to the information above, the following applies when you use the Career Pilot Android app:

• Sign-in: You sign in with your email address. We email you a sign-in link and a six-digit one-time code. The app does not use passwords.
• Data stored on your device: The app keeps a local copy of your resumes, cover letters, jobs, documents list, assessments and activity in a database on your device so it works when your connection is poor. Your sign-in token is kept in the device's secure storage. App data is excluded from Android device backups.
• Permissions: The app requests only the Internet permission. When you choose to upload a document or profile photo, you pick the file yourself with the system file picker; the app does not request broad access to your storage, contacts, camera, microphone or location.
• Third-party SDKs: The app uses Google Firebase (Firebase Storage) to store files you upload. It does not include advertising, analytics, crash-reporting or push-notification SDKs.
• Purchases: The app shows your subscription and credit information. Payments are not made inside the app.

2How We Use Your Information

We use the information we collect in the following ways:

• To provide, operate, and maintain our services.
• To process transactions, including sending invoices and other transactional communications.
• To improve our website and customize your user experience.
• To communicate with you, respond to your inquiries, and provide customer support.
• To send marketing materials, promotional offers, and updates with your consent.
• For internal analytics to monitor trends and enhance services.

3How We Share Your Information

We do not sell or rent your personal information to third parties. The Career Pilot mobile app does not share your data with third parties for advertising. Our website uses Google Analytics, Google Ads and Meta Pixel tags to measure visits and advertising performance (see Cookies Policy). We may share your data in the following cases:

• With Service Providers: We may share information with third-party vendors to facilitate services, such as payment processing (Stripe), file storage (Google Firebase), AI processing (OpenAI), marketing services, or IT support.
• With AI Providers: When you use Career Pilot's AI features, we send the relevant data to OpenAI, which processes it on our behalf as a service provider. This data can include your resume text (including any contact details it contains), your Resume Builder content, your education, skills and years of experience, target job titles, job descriptions and company names you provide, and messages you send to the AI chat assistant. We use it to parse and import resumes, generate resume reports, ATS checks and job-match analysis, suggest job titles and market and salary insights, write or improve resume sections and cover letters, and answer your questions in the AI chat assistant.
• For Legal Reasons: If required by law or to protect our legal rights, we may disclose your information to comply with legal processes or regulatory requirements.
• In the Event of a Merger: In the event of a merger, acquisition, or asset sale, your information may be transferred as part of the business transaction.

4Security

We take reasonable measures to protect your personal information from unauthorized access, disclosure, or loss. Data sent between the website or mobile app and our servers is encrypted in transit using HTTPS. However, please understand that no security measures are perfect, and we cannot guarantee complete security.

5Your Data Rights

Depending on your location, you may have the following rights regarding your personal information:

• Access: You can request access to the personal information we hold about you.
• Correction: You can request that we correct inaccurate or incomplete information.
• Deletion: You can request that we delete your personal information. In the mobile app, go to Settings → Delete Account. For all options, including deleting your account by email, see Delete Your Account.
• Objection: You can object to the processing of your data for certain purposes, such as direct marketing.
• Data Portability: You may request a copy of your personal data in a portable format.
